This applies to all management committee members, staff and volunteers
- Hardware including peripherals
- Acquisition: All hardware must be compatible. It should be suitable for Win 10 or higher or similar software (eg. Linux Mint).
- Use: Hardware should be only used for Scrappies work with limited allowances for personal use.
- Security: Hardware should be kept as secure as possible to prevent theft or misuse.
- Restrictions: Scrappies’ hardware may not be used for illegal, offensive, abusive or pornographic purposes.
- Software
- Acquisition: Must be bought legitimately (except open-source freeware) and registered appropriately
- Use: Software is installed for Scrappies work only, with limited allowances for personal use.
- Security: All users must make every effort to protect computers and software from viruses, malware, adware and other malicious software. Only authorised people are allowed to download and install software on an Scrappies computer.
- Restrictions: Scrappies software may not be used for illegal, offensive, abusive or pornographic purposes.
- Personal hardware and software
- Use: personal devices may connect to Scrappies broadband and be used in the store – but only for work related purposes or limited personal use.
- Security: mobile devices which contain Scrappies information must be protected from use by unauthorised persons, theft, malware, etc.
- Restrictions: Personal devices and software must not be used for illegal, offensive, abusive or pornographic purposes.
- IT Security
- Physical security: Make sure everything is locked up properly when not in use.
- Protection of data: Use passwords and don’t share them. Only use personal data when necessary and do not leave it in sight, either on computer or in printed format. All data must be backed up, either “in-the-cloud” or on paper.
- Emergency procedure: In the event of a hardware or software failure, virus or security breach you must inform the IT manager (Joan Arnfield) and/or a member of the management committee as soon as possible.
- Website policy
- Authorised editing and updating access: The IT manager and the Scrappies Secretary, only.
- Register of information: Passwords, inventory of data, hosting and other security information must be kept securely.
- Data collection: Data collected on the website, including the membership directory must adhere to Data protection and Privacy laws.
